We aim to be transparent and follow all applicable privacy laws in Canada and other regions where we operate, as well as the privacy requirements of the Apple App Store and Google Play Store. Komorei is currently a Canadian business, and we adhere to Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), which requires us to have clear policies on how and why we collect personal information. We also strive to meet U.S. privacy expectations (such as California’s CCPA) to protect our users and build trust. We write this Policy in plain language for clarity.

Komorei itself does not store full credit card numbers or bank account numbers – that information is collected and processed by Stripe, our payment processor. We may store limited payment metadata (like the timestamp of a transaction or an anonymized transaction ID) for record-keeping.

Location Data (Optional): If you use Komorei on a mobile device, you can choose to grant us access to your device’s location (e.g., via GPS) to help find events near you. You control whether to share precise location – you can allow it, for instance, to see a map of nearby cafés hosting events. If you do, we collect your geolocation while you have the app open, to suggest local events or show your distance from event venues. You can always disable location access in your device settings, and you can still use the app by manually searching locations. We do not continuously track your location in the background; we only use location to provide features you request (like finding nearby events or providing directions).

How We Use Your Information
Komorei uses the collected information to operate, maintain, and enhance our services, in ways that you would expect. Here is how we use different types of data:

Facilitating Transactions: If you are making or receiving payments through Komorei, we use personal information to process those transactions. For Attendees, this means using your payment information (via Stripe) to charge your card when you purchase a ticket or pay a fee. For Hosts, this means relaying the necessary details to Stripe to transfer payments to you. We also send confirmation emails or notifications about payments. (Note: All actual payment processing is done by Stripe on our behalf, but we coordinate the process.)

Providing the Service: First and foremost, we use your information to deliver Komorei’s functionality to you. This includes using your registration info to create your account and profile, enabling you to create or join events, and allowing Hosts and Venues to connect. For example, we use the name and profile info you provided to display your profile to others in the context of events (as described in the “Information Sharing” section below). If you share your location, we use it to show you nearby events or to show your approximate distance to a café event.

- Customer Support: If you reach out with a question or issue, we will use your info to respond. We might also send you messages asking for feedback or informing you of new features that could improve your experience.
- Marketing (Limited): We may send occasional newsletters, event suggestions, or promotions, but only if you have not opted out. We aim to keep such emails infrequent and relevant (for example, suggesting popular new café events in your city). You can unsubscribe from marketing emails at any time by clicking the “unsubscribe” link in the email or adjusting your notification settings. Even if you opt out of marketing, you will still receive essential service notifications (like event updates or receipts).

Improving and Personalizing the Service: We want Komorei to be useful and intuitive. We analyze usage data and feedback to understand how users engage with the app. This helps us debug problems, optimize features, and decide what new features to build. For example, if we see that many users in a certain city are interested in coffee tasting events, we might highlight that category more. Or if certain parts of the app are slow or crash, we use device data and crash logs to fix those issues. We may also use data to personalize your experience such as recommending events you might like based on your past activities or the interests you’ve indicated. Any such automated suggestions are aimed at improving your experience, and you can always choose whether to participate in an event or not.

Ensuring Safety and Integrity: We use information as needed to keep Komorei safe, secure, and compliant with the law. This includes monitoring for and preventing fraud or unauthorized use of our Platform. For instance, we may use technical data (like IP addresses or usage patterns) to detect multiple fake accounts or bots. We also may review content or messages for violations of our Terms of Service (for example, investigating a report of harassment or misinformation). If necessary, we use personal data to investigate and address violations, to mediate disputes, or to comply with legal obligations (such as keeping records for financial regulations or responding to lawful requests by authorities).

Legal and Compliance Reasons: Sometimes we may need to use and retain personal information to comply with our legal obligations, such as tax and accounting rules (e.g., maintaining transaction records) or to resolve disputes and enforce our agreements. If we receive a legal request (like a court order) that requires us to provide user data, we will review it carefully and only comply if required by law. We might notify the affected user if allowed (unless it’s an emergency or legally prohibited).
We will not use your personal information for purposes that are not related to the service without asking for your consent first. For example, we do not sell your data to third-party advertisers, and we won’t suddenly use your name or content in an advertisement without permission. Any new uses of personal data beyond what’s described here will be communicated to you through an updated policy or a request for consent.
How We Share Your Information
We understand that sharing data with third parties or other users is a sensitive topic. Komorei does not sell or rent your personal data to third-party companies for their independent marketing. We only share information in the following circumstances:

With Our Service Providers (“Processors”): We employ trusted third-party companies to perform certain functions on our behalf, and we share data with them as necessary for those purposes. Key service providers include:
- Stripe: As mentioned, we use Stripe for payment processing. When you enter payment information or conduct a transaction, that information is sent directly to Stripe. Stripe handles the card processing and then tells us whether the payment was successful. We also share with Stripe some information to facilitate transactions, like the amount to charge, your user ID or email (to tie the payment to your account), and the description of what you are purchasing (e.g., “Ticket for Coffee Tasting Event”). Stripe is contractually obligated to protect your data and use it only for payment processing; they are a PCI-DSS compliant payment processor known for high security standards. By using Komorei’s payment features, you are essentially also entering into a relationship with Stripe, and your personal data will be handled in accordance with Stripe’s privacy policy when it is in their possession.
- Hosting and Infrastructure: Komorei likely runs on cloud services (for example, web servers or databases) provided by reputable companies. These providers store and manage the data under strict security measures on our behalf. They do not use your data for their own purposes.
- Analytics and Crash Reporting: We may use third-party analytics tools (like Google Analytics for our website or similar analytics in the app) to understand usage. These tools may set cookies or collect technical info (as described in “Information We Collect Automatically”). All such data is typically aggregated and not tied directly to your name or email. It helps us see overall trends. Similarly, we might use services to report app crashes or errors (for example, Firebase Crashlytics or Sentry) which would send us diagnostic info if the app crashes on your device, along with device type and a user ID. These are common practices to maintain app quality.
- Email and Notification Services: If we send emails, we might use an email delivery service (like SendGrid, Mailchimp, or similar) to actually send those messages. They would have access to your email address and the content of the message. They are only allowed to use that information to send emails on our behalf. Push notifications may be sent through Apple’s or Google’s notification services to your device.
In all cases, we only share with these providers the information that is necessary for them to perform their function. We also ensure that they have contractual obligations to safeguard your data and to comply with privacy standards. They are not allowed to use your info for anything other than providing services to Komorei. We choose partners that are reputable and align with strict privacy requirements (for example, many of our providers also state compliance with laws like GDPR, PIPEDA, or CCPA as relevant).

With Other Users (Hosts, Venues, Attendees): As a core function of the Platform, some of your information is shared with other Komorei users, but only as needed for events:
- Hosts and their events are public to the community: if you create an event, the event listing (including Host name and profile picture, and the venue info) is visible to users browsing events. Your Host profile (name, photo, bio, social links, past event ratings or history) will be visible to users viewing your events. This transparency helps users decide if they want to join your event.
- Venue profiles are public to Hosts and users: if you list a café or venue, its details (name, address, description, images) are shown on the Platform to help Hosts choose where to host events and to inform Attendees about the location.
- Host–Venue Data Sharing: When a Host requests to host an event at a particular café through Komorei, that Venue may see the Host’s profile information (e.g., Host name, profile, and possibly a summary of their past events or reviews) to decide whether to approve the event. This is similar to how a venue owner would want to know who is organizing an activity at their location. Conversely, the Host will see the Venue’s info to ensure it fits their event. This mutual visibility builds trust and accountability.
- Attendee–Host Data Sharing: If you join an event as an Attendee, the Host will typically receive your name and possibly a profile identifier, so they know who is coming. They might also see your profile photo if you have one, to recognize you at the event. We do not share your contact info (email or phone) with Hosts or other Attendees through the Platform, unless you choose to provide it via messaging or at the event. Attendees at an event might be able to see each other’s names or profile nicknames through an attendee list for that event (for example, showing “Alice and 5 others are going”). Such features, if present, are intended to help users connect at the event, but we will keep the information limited (e.g., first name and last initial, or profile name).
Please note: any information you post on public areas of the Platform (for example, an event description, or a public comment/review) will be visible to others. Think of public event pages as akin to a meetup notice board – they can be seen by anyone using Komorei in that city. Always be mindful of what you share publicly. Private communications (like direct messages between a Host and Attendee, if our Platform supports that) are not viewable by others, but we caution users to share contact details carefully.

For Legal Reasons: We may disclose information about you if we have a good faith belief that such disclosure is required by law, regulation, legal process, or governmental request. For example, to comply with a subpoena, court order, or similar legal mechanism. We will try to notify you of such demands when appropriate (e.g., if a government requests your data) unless we are prohibited by law or in an emergency situation. Additionally, we may disclose information to enforce our Terms of Service or protect the rights, property, or safety of Komorei, our employees, our users, or others. This includes sharing information with law enforcement or other relevant parties if we believe it's necessary to investigate fraud, security issues, or a threat to safety.

Business Transfers: If Komorei is involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, your information may be transferred as part of that transaction. We would ensure that any new owner or successor entity honors the commitments in this Privacy Policy (or we would notify you and get your consent if required by law when the data will be handled differently). For example, if another company acquires Komorei, your data would likely be part of the assets transferred, but you would receive notice and the opportunity to delete your data if you desired.

With Your Consent: Apart from the cases above, if there is ever any situation where we would want to share your personal data for something else, we will ask for your consent. For instance, if we want to feature a user’s success story or profile on our blog or marketing materials, we would contact you and get permission before doing so. If you explicitly ask us to share your information with a third party (say, you want us to send your details to a partner organization for a specific purpose), we would do so only with your direction.authorities).
Important: We do not share your personal information with advertisers or data brokers. Komorei has no third-party ads on the platform at this time. If that ever changes, we will update this Privacy Policy and obtain any necessary consents. As of now, any data sharing is primarily to make Komorei work (with other users you engage with, or our service providers as described).

In the unlikely event of a data breach that affects your personal information, we will notify you as required by law. For instance, Canadian law and many U.S. state laws may require us to inform you of certain security incidents, and we will comply with those obligations (usually providing guidance on steps you can take to protect yourself, etc.). We also plan to notify affected users and appropriate authorities within the required timeframes if a serious data breach occurs
You also play a role in keeping your data secure. Please choose a strong password and do not share it. Log out of the app or website when using a shared device. If you suspect any unauthorized access to your account, let us know immediately.
Data Retention
We keep your personal information only as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. Practically speaking:

Event and Transaction Data: Even if you delete your account, we may retain certain records of the events you organized or attended, and transactions made, for legitimate business or legal purposes. For example, we might keep transaction records for accounting and tax obligations, or to resolve disputes (someone who attended a past event might need proof of payment, etc.). We will also retain information as needed to comply with our legal obligations or enforce our agreements. When we retain data for these reasons, we ensure it’s only used for those purposes and not for anything else.

Account Data: We retain your profile information and content for as long as you have an account with us. If you delete your account, we will initiate deletion of your personal data from our active databases. In most cases, deletion takes effect within a reasonable time (we aim for within 30 days of confirmation of your deletion request, barring any technical delays). Some residual data may remain in our backups or archives for a short period, but we will purge those in accordance with our data retention policies. If data is stored in backups, it will not be readily accessible and will eventually be overwritten or destroyed.

Communications: If you contacted support or provided feedback, we might retain those communications (including any email addresses involved) for a period of time to ensure we have a history of support issues, or for training and quality assurance.

Your Rights and Choices

Deletion: You have the right to request deletion of your personal data. You can delete your Komorei account via the app settings if that feature is available, or by contacting support. As noted in the Data Retention section, upon deletion we will remove or anonymize personal data, except for information we are required or permitted to keep by law. If you simply uninstall the app without deleting your account, your account data will still remain on our servers – so please follow through with an account deletion request if you want your data removed. We will process deletion requests as quickly as reasonably possible and let you know when it’s completed. Do note that after deletion, you will not be able to recover your account or any content you added (so make sure you save any information you want to keep before deleting).

Access and Correction: You have the right to access the personal information we hold about you, and to request correction of any inaccuracies. Much of your basic data is accessible and editable directly by you through your profile settings (e.g., you can update your name, email, profile picture, etc.). If you need assistance or wish to obtain a copy of the broader set of personal data we have about you, you can send us a request (see Contact Us below). We will provide you with the information we have, in accordance with applicable law. For Canadian users, this aligns with your rights under PIPEDA to access and challenge the accuracy of your personal information. We may ask to verify your identity before releasing data to ensure we don’t disclose personal info to the wrong person.

Consent and Preferences: Where we rely on consent to collect or use data (for example, precise location or sending marketing emails), you can always decline or revoke consent:
- For location services, you can disable location access in your device’s privacy settings at any time, and the app will stop collecting it.
- For push notifications or marketing emails, you can opt out or adjust your preferences in the app settings or by following unsubscribe instructions in emails. (Push notifications can also be controlled in your phone’s settings if you decide you no longer want to receive them.)
- If in the future we ever ask for new consents (say, if we introduce integration with your phone contacts or something), you can choose not to grant that permission. Our app should still function, minus the features that require that data.

California Residents and U.S. State Privacy Rights: If you are a resident of certain U.S. states (such as California), you may have additional rights regarding your personal information. For example, California’s CCPA (California Consumer Privacy Act) grants rights such as:

We also explicitly do not sell personal information, so the opt-out of sale is not applicable. If you have any specific inquiries regarding state-specific privacy rights, please reach out. International Users: Komorei is primarily targeted at users in Canada (and soon the US). If you happen to use Komorei from outside these countries, note that your data will be stored in and transmitted to servers in Canada and/or the United States. By using the Platform, you consent to your information being transferred to and processed in Canada or the US (which may have different data protection laws than your home country). We will handle it with the same care as described here, no matter where our servers are located. If you are in a region with strict data protection laws (like the European Union), please be aware Komorei is not currently marketed in those regions, but if you still use it, some of those frameworks (like GDPR) may provide you rights such as to object to processing or data portability. We will honor any valid requests, but please understand our primary compliance focus is Canada/US at this stage.
International Data Transfers
Komorei is based in Canada, and our services are currently primarily in Canada (with planned expansion to the US). If you are using Komorei from another country, be aware that your personal information will likely be transferred to, stored, and processed in Canada and/or the United States. These countries may not have the same data protection laws as your home country. However, we will protect your information in accordance with this Privacy Policy no matter where it is processed. We have measures in place to ensure any cross-border data transfers comply with applicable legal requirements. For instance, for personal data from Canada to the US, both countries are generally considered to have adequate protections and are bound by trade agreements; for any potential European users, standard contractual clauses or comparable safeguards would be used if that were to apply.
